
Information for Volunteers
Volkswagens on the Green Car Show requires a lot of volunteers to prepare and carry out. Younger members of the Volkswagen community may volunteer, under 16 they should be supervised by a parent or guardian.
To prepare for the show
Club Trailer needs to be opened so canopies and banners can be examined for damage and club merchandise inventoried.
Flyers and posters must be distributed to businesses that people who would be likely to go to the show frequent.
Volunteers must assemble the ballots that people will use to vote for the show cars.
Event shirts need to be bagged up and size labels put on the bags.
The grounds at Clement Park must be prepared the day before the show Saturday May 18th, the show is marked out on the grass with driveway markers and chalk paint.
Putting cars on the grass at Clement Park involves getting cars over a curb, so a set of ramps (which the club owns and are currently stored at the Everitt Airport in Parker) must be picked up, transported to the park (the club will rent a U-Haul truck) and set in place. Because of the weight of the ramps this will require 4 – 6 people with good backs.
The day of the show
There will be many jobs for volunteers, and to ensure that volunteers get to see the show, we will have people work in no more than 2-hour shifts.
Several hours before the show begins, volunteers will arrive to put up the Registration and Headquarters canopies and banners, set up tables and chairs and to pull out the storage containers marked for those areas.
A volunteer will be needed to set up the PA system.
One very important volunteer job is manning the three entrances to the car show. Two of the three entrances are for show cars and the third is for people coming to the swap meet or looking for preferred parking. At the show car entrances volunteers will check that people coming into either have an email showing they prepaid to show a car or take cash from them and give them a ticket to take to the registration canopy. The third entrance will let in people taking part in the swap meet or wanting preferred parking, again volunteers will check for an email or take money. Volunteers at the entrances will also need to let sponsors and vendors through and give them directions to where they must drive to set up. Also, some spectators may try to enter, they must be redirected to the parking lot at the corner of Pierce and W Bowles.
We will need volunteers to help guide cars over the ramps. Other volunteers will direct cars into the show car area.
We will need 2 -3 volunteers at the registration canopy from about 7:30 – 10AM to hand out windshield cards, ballot packets and dash plaques.
We will need 2-3 volunteers at Headquarters (from 8AM – 2PM so (6 – 9 people total) to sell event T-shirts and other club merchandise and to talk about the club to people who might want to join.
We will need volunteers to supervise activities for children (racing matchbox cars on a track and playing with stomp rockets)
We need someone to man the PA making announcements advertising the sponsors.
We will need a couple of Volunteers to monitor the trash receptacles.
When balloting ends at noon, we will need many volunteers for a short period to count ballots.
At the end of the show, we will need volunteers to take canopies down, take down banners and store them, fold up tables and chairs, box up registration materials and any leftover merchandise. Put things back in Club Trailer.
The ramps will need to be picked up and returned to storage.
